A soft hold is a tentative, non-binding booking for a cast member, crew member, or piece of equipment.

In the complex world of film production scheduling, a ‘soft hold’ is an essential tool for producers and department heads during pre-production. It functions as a provisional reservation, essentially telling a person or rental house, “We are very interested in hiring you for these specific dates, but we cannot confirm it just yet.” It is the industry-standard way to begin assembling a team and resources before financing is fully secured or a final green light is given. This practice allows a production to gauge the availability of its preferred talent without making a binding financial commitment.

The Challenge System

A soft hold operates on a ‘right of first refusal’ system. The person or company that is being held agrees to notify the production if they receive a firm, paid offer from another job for the same dates. When this happens, they ‘challenge’ the hold. The original production then has a contractually-stipulated window of time—typically 24 hours—to make a decision:

  1. Confirm the Booking: The production converts the soft hold into a firm, legally binding offer of employment.
  2. Release the Hold: The production relinquishes their claim, freeing the person or equipment to take the other job.

This system creates a delicate balance. A freelancer, like a cinematographer or editor, might have soft holds from three different projects for the same month. The first project to get its funding in place will likely be the first to challenge and confirm, creating a domino effect for the other productions.

Strategic Importance

For a line producer, managing dozens of soft holds is a crucial part of the pre-production puzzle. It allows them to build multiple potential versions of their cast, crew, and equipment package. It provides a clear picture of who is available and what the potential budget will look like long before the first official dollar is spent on payroll. It is the logistical foundation upon which the entire production is built.
