A Rite of Passage

On the surface, a ‘coffee run’ is exactly what it sounds like: the task of going to a coffee shop to pick up beverages for the cast and crew. In the rigid hierarchy of a film set, however, this seemingly menial task is a fundamental rite of passage and a critical test for the most junior crew members, the Production Assistants (PAs). The coffee run is a microcosm of the film industry itself, demanding precision, resourcefulness, a good attitude, and the ability to manage complex logistics under pressure. How a PA handles the coffee run is often seen as a direct indicator of their potential for handling more significant responsibilities later on.

The Anatomy of a Successful Run

Executing a coffee run flawlessly is far more complex than it appears. A successful PA must master several key skills:

• Order Accuracy: The PA must meticulously record a list of orders that are often incredibly specific and varied (e.g., ‘a triple-shot, venti, non-fat, no-foam, extra-hot latte for the director,’ ‘a small black coffee for the DP,’ ‘a half-caf oat milk flat white for the lead actress’). Any mistake can be seen as a lack of attention to detail.
• Logistical Planning: The PA needs to figure out the nearest decent coffee shop, calculate the travel time, and manage the complex order with the barista, all while being mindful of the constantly changing on-set schedule.
• Financial Responsibility: They are entrusted with cash or a production credit card and must keep every receipt, accounting for every penny spent.
• Speed and Temperature Control: The ultimate goal is to get the drinks back to set quickly, before they get cold, and distribute them to the correct people, who may have moved to different parts of the location in the interim.

More Than Just a Beverage

A coffee run is not just about caffeine; it’s about morale. On a grueling 14-hour day, the arrival of a fresh, hot coffee can be a significant boost to a crew’s energy and spirits. The PA who can consistently and cheerfully deliver on this small but important task earns trust and gratitude. They demonstrate that they are reliable, capable of following multi-step instructions, and have the right ‘can-do’ attitude for the high-stress environment of a film set. In this way, the humble coffee run is the first rung on the long ladder of a career in film production. It’s a test of competence disguised as a request for a cappuccino.
